Getting your business set up
As a CPS member, the NFRC Competency Passport gives you one place to manage information about your business, your operatives and the subcontractors you work with.
The NFRC Competency Passport is powered by Certchain and allows CPS to access the relevant information needed to assess competence as part of the scheme.
There are three main steps to getting your business set up:
- Set up your business on Certchain.
- Add your operatives and Nominated Competent Person.
- Connect the subcontractors, freelancers and other people carrying out work for your business.
Once you’re set up, you’ll need to keep your information up to date as things change.
Step 1: Set up your business

What you need to do
- Open your Certchain invitation email
Look for an email from [email protected] and follow the link to set up your account.
- Enter your details
Check that your business name and email address are correct, then enter your name, create a password, accept the terms and conditions, and select Create password.
- If your business name needs updating, you can change it later in Settings.
- Your primary email address can also be updated later in User Settings.
- Accept the request to link your business to CPS
This connects your business to CPS and allows the relevant competence information to be shared.
- Keep both sharing settings set to Yes.
- Skip the certification section
You’ll see a section asking you to add your own certifications, qualifications or CV, with a Verify now button. You do not need to complete this at this stage. Select Skip and continue.
- Once complete
Your NFRC Competency Passport is now set up. You’re ready to start onboarding your operatives.
Haven’t received your invitation?
Check your junk or spam folder first and look for an email from [email protected].
If you still can’t find it, please contact us. Your invitation will be sent to the contact email address CPS holds for your business. If this has changed, contact us so we can update it.
Step 2: Onboard your operatives
Once your business is set up, the next step is to add the people relevant to your CPS membership. You do not need to add everyone who works for your business. You only need to add:
- Roofing installers
- Your Nominated Competent Person

What you need to do
- Add your operatives
Go to Users and select New User.
- Before adding your people, scroll down to “Also share with a linked organisation”. Turn this on, then select NFRC CPS.
- This connects the people you add to the NFRC Competency Passport and allows their relevant competence information to be shared with CPS. Setting this up before you add your people means you will not need to connect each person separately later.
- Enter their details
For each person, you will need:
- First name
- Last name
- Email address
- National Insurance number*
*National Insurance numbers are used as unique identifiers to help verify competence information provided as evidence. They are not stored on our system.
- Select their role
At the bottom of the list, select Monitor-only. This sets up their account without requiring them to actively use the NFRC Competency Passport at this stage.
- Select their Business Unit
In the Business Unit dropdown, select the NFRC region the person is based in.
- Add the next person
Select Add another and repeat the process for each person you need to add.
- Create the users
Once you have added everyone, select Create user, then select Create & invite.
If someone already has a Certchain record
If you see the message this means the person already has a Certchain record.
Do not create a new record. Instead, request that their existing record is transferred to your business.
- Go to User Transfers.
- Select Request User Transfer.
- Find the person you are adding.
- Select your business as the organisation they are moving to.
- Submit the transfer request.
The organisation that currently manages their record will need to approve the transfer. Once approved, you can manage their existing Certchain record, including their competence information and evidence, through your business.
Make sure the person is then shared with CPS. This can be done manually through your Users section.
Step 3: Connect your subcontractors and other businesses
Once you have added your operatives, you need to connect the businesses and independent people who carry out work for your business. This includes:
- Businesses you subcontract work to
- Freelancers or self-employed people who carry out your work
- Anyone else brought in by your subcontractor to carry out your work
You only need to connect businesses and people who are involved in carrying out your work.

What you need to do
For each business or person carrying out work for your business, send a link request to connect them to your business. They are responsible for setting up and maintaining their own information on Certchain. You are responsible for making sure they are connected to your business.
- Go to Organisations.
- Select Send link request.
- When asked if the business already has a Certchain account, choose the option that applies.
Yes, they have an account
Ask the business for their Certchain ID and enter it.
Check you have selected the correct business, then send the request.
The business will need to approve the request.
No, they are new to Certchain
Enter the organisation name and the contact details for the person who will manage their Certchain account.
You will also need to provide their email address and National Insurance number.
Send the invitation.
They will receive an email inviting them to set up their organisation on Certchain.
If your subcontractor uses another business or person
If your subcontractor brings another business or independent person in to carry out your work, they also need to be set up on Certchain and connected to your business.
Your subcontractor is responsible for setting up and maintaining the information for the businesses or people they bring in. You are responsible for making sure those businesses and people are connected to your business.
Step 4: Keep your information up to date
Now that you’ve added your people to your NFRC Competency Passport, you’ll need to keep their information up to date as things change. This includes when:
- A new operative joins or leaves your business.
- You start working with a new subcontractor.
- A subcontractor brings another business or freelancer into your work.
- A new freelancer or self-employed person starts carrying out your work.
Keeping your information up to date means your NFRC Competency Passport always reflects the people and businesses carrying out your work.
